ABOUT THE ROLE:

Under the supervision of the Training Sergeant in the Detention Center, performs a wide variety of professional-level administrative duties that normally include responsibility for management of administrative programs and projects. This position performs accounting and administrative support functions related to prisoner accounts and related detention center administrative functions.

CANDIDATE REQUIREMENTS:

1. Requires an associate degree (or 60 credit hours) from an accredited college or university validated by transcripts with major coursework in office support, business or office education, and two (2) years of work experience performing a variety of office support, clerical, or secretarial work. Additional work experience performing office support, clerical, or secretarial duties may substitute for the education requirement on a year-for-year basis.

2. Requires knowledge of administrative processes, procedures, or methods and work experience with considerable knowledge, skill and ability in duties similar in type and complexity to those performed at this level.

3. Requires ability to coordinate the activities of employees with duties of the same or similar in nature.

4. Must be proficient with word processing and spreadsheet software such as MS Office suite.

5. Requires a high degree of written and/or verbal communication skills dealing with employees or the public.

6. Ability to handle multiple duties and priorities under limited supervision along with the ability to provide direction to other employees.

7. Applicant will be subject to a criminal background check and pre-employment physical and drug screen at the Countys expense.

ESSENTIAL JOB DUTIES:

Coordinate daily activity assignments with other Detention Center office staff.

Answer incoming calls, answer questions, or transfer to appropriate staff member.

Issue checks from prisoner accounts, and bond checks to the appropriate court.

Prepares bank deposits.

Monitor and document monthly inmate statistics.

Collect and balance cash and check deposits posted to the inmate accounting system.

Maintain records of Not in Custody commissary orders; prepare credits for missing items.

Maintain inmate property release slips; Verify ID and call Booking for property.

Review reports to ensure correctness, completeness, and accuracy, and scan to the inmate file.

Run the visitation program on designated days; troubleshoot issues with Reliance phone

system; ID visitors.

Maintain a positive relationship with attorneys, clergy and other visitors by tending to the front counter.

Assist Detention Division personnel with clerical duties as required.

Open and close the lobby for business hours.

Perform other duties as required or assigned.

ACCOUNTABILTIES:

1. Inform and update the Training Sergeant of the Detention Division of commendations, issues, concerns and/or complaints to maintain an orderly and efficient operation.

2. Ensure accuracy and implementation of policies, and procedures, and other administrative materials, by reviewing and distributing all necessary materials to appropriate personnel.

3. Develop a working knowledge of the technical aspects of the office such as legal language, forms, filing systems, applicable rules, regulations, laws, policies and procedures.

4. Apply appropriate guidelines, either specific or general, to appropriate duty.

5. Create a positive and productive work atmosphere by communicating and maintaining a professional manner and team-like environment with all other departments, and members of the public.

WORKING CONDITIONS:

Physical environment consists of a desk job in the standard environment, repetitive motion, sitting and standing.

Mental demands require the ability to analyze circumstances and interpret guidelines to select appropriate procedures, which provide analysis, recommendation, or advice used by others in making decisions.

Frequent use of PC keyboard and monitor. Will include physical motions of finger dexterity for use of keyboard, and other office equipment.
